Your team

 

You will be part of the Information Governance Division in the Directorate General Secretariat. Our Division has around 50 staff members, who develop, maintain and guide the implementation of information management policies and procedures. We also provide records management and library information services and are responsible for training, advice and user support relating to this. In addition, we manage the ECB's document and records management system and its archives. The Division is currently developing a range of services to reinforce the ECB's knowledge management and collaboration capabilities within the framework of its enterprise information management strategy.

 

In your role as a trainee in Archives and Records Management Support, a part of the Information Governance Policies Section, you will work with a dynamic and service-oriented team of seven staff members responsible for:

  • dealing with archival and records management requests, in close cooperation with archivists and records managers, to help staff comply with the ECB's information management policies;
  • maintaining knowledge platforms and communicating sophisticated system functionality to ECB staff; 
  • advising a community of key users on advanced digital communication skills and IT automation tools;
  • working with other teams in the Division to support all the ECB's organisational units in implementing the ECB's digital workplace.

Your role

 

As a trainee you will:

  • be involved in a wide range of records management and archival support tasks relating to the creation, processing, storage and preservation of information, and support colleagues on the day-to-day work of the team;
  • help to implement the ECB's retention policy for paper and digital records;
  • maintain existing knowledge management platforms and establish new platforms to facilitate digital dexterity and the use of self-service tools;
  • contribute to the streamlining of guidance and training material to raise staff awareness of, and encourage adherence to, the ECB's information management policies and procedures;
  • participate in the Division's information management projects and initiatives, including digital archiving and preservation, knowledge management, and the opening of the ECB's historical archives to the general public.

Qualifications, experience and skills

 

Essential:

  • a bachelor's degree or higher in information management, archives and/or records management or library studies, or, if your first degree is not in this field, a postgraduate diploma, master's degree or higher qualification – or enrolment in a postgraduate course – in any of these subjects;
  • a working knowledge of the Microsoft Office suite, in particular Word, Excel, PowerPoint and Outlook;
  • a sound understanding of the current trends and challenges in the information management profession;
  • an affinity for, and ability to use, digital technologies for effective collaboration and communication;
  • an advanced (C1) command of English and an intermediate (B1) command of at least one other official language of the EU, according to the Common European Framework of Reference for Languages.

 

Desired: 

  • knowledge of enterprise document management systems such as OpenText Content Server;
  • a basic knowledge of web-based technologies (HTML, CSS, JavaScript).

EU nationals eligible for our traineeship programme.

 

All candidates should:

  • be a national of a Member State of the EU or of an acceding country;
  • be at least 18 years old;
  • have completed at least a first cycle qualification (minimum bachelor's degree);
  • be fluent in English and in another official language of the EU.

 

Following their most recent qualification candidates should:

  • have a maximum of 12 months' professional experience;
  • have been a trainee for no more than six months;
  • not have been an ECB trainee or have worked for the ECB previously.
